Seminars

Work with the committee chair and members to

 

  • Establish date, location, timeline, reserve location, and negotiate contract for rental fee, food and beverage minimums, parking, etc...

  • Design, prepare, order, and send out announcements, reminders, and registration brochure

  • Attaining commitment then negotiate agreements with presenters

  • Follow up with presenters regarding presentations including audio visuals needs

  • Collect necessary presenter information for marketing pieces and seminar materials

  • Concerning negotiations, agreements, and payments with exhibitors and sponsors

  • Collect exhibitor/sponsor information necessary for marketing pieces and seminar materials

  • Correspond with exhibitors/sponsors in respect to event booths including electrical and other needs

  • Attain volunteers to aid with registration and day of staffing needs

  • Update and maintain website with seminar registration, marketing materials, etc.

  • Market seminar through mail, e-mail, and social media whenever possible/deemed necessary

  • Update and maintain on-line seminar registration for attendees, exhibitors, and sponsors including

  • Collect and track registrations and payments from attendees, exhibitors, and sponsors

  • Coordinate with client's accounting department to make location deposits and final payments, and deposit payments from attendees, exhibitors, and sponsors

  • Coordinate with venue on seminar day details

  • Handle all seminar attendee preparation (Ex. name tags, rosters, seminar programs, etc.)

  • Design, prepare, order and display seminar signage

  • Day of seminar arrive early, ensure set up is correct, stay on premise throughout event and address any issues that may arise

  • Reconcile seminar income from attendees, exhibitors, and sponsors

  • Create and disburse electronic seminar survey for attendees, presenters, exhibitors, and sponsors

  • Coordinate and help manage committee wrap up meeting

  • Continuing Education

    • Work with the chair and/or committee members, and presenter(s) in attaining a one page outline with time increments for submission

    • Complete and submit paperwork and payment to the respective continuing education governing bodies for course outline approval in a timely manner, whenever possible

    • Prepare, provide, and manage proper continuing education sign in/sign out sheets

    • File continuing education rosters with appropriate continuing education governing bodies
      Prepare and distribute proper certificates of completion within required time frame set forth by the respective continuing education governing bodies

    • Complete and submit paperwork and payment to the respective continuing education offices for roster filing in a timely manner

    • Oversee storing and on site management of all continuing education files in compliance with the respective continuing education governing bodies
